Tailoring the Agile Methodology

Agile methodology will be used to manage the current project. The agile methodology is suitable for iterative projects which cater to the changing demands of the users. The agile methodology is especially useful for software development. The mobile app users have dynamic demands. They continuously need new attributes and functions. Emergence of new smart devices and operating systems are also key factors which increases the need of adopting a flexible design. In this case also, the project team and stakeholders need flexibility to accommodate changes in the mobile app continuously. So, the agile method would be the most suitable in this case.

Risk Management Plan

The risk management plan is necessary to identify the risk that can impact the project in advance and developing strategies to mitigate those. The risk management plan is created in several steps. Firstly, the risk register is prepared to document all the identified risks. The risk analysis is done using Probability and impact matrix. The probability and impact matrix is an effective tool to determine the likelihood of occurrence and effect of risk on the project. Based on the analysis, the risks are categorised and appropriate actions are taken to mitigate the negative consequences.

Work Breakdown Structure and Project Schedule

The work breakdown structure (WBS) acts as a critical input to schedule the project. From the WBS, the deliverables and work packages are identified (Shah, Naghi Ganji& Coutroubis, 2017). The WBS is prepared based on the project scope.

Stakeholder Management Plan

The stakeholder management plan is beneficial to determine the communication requirements based on stakeholder engagement, interest on the project and influence (Jana & Liběna, 2016). The stakeholders can be internal and external. The internal stakeholders include the members from the management of the organisation, owner and sponsor of the project.The external stakeholders include the users of the app.

The stakeholders would be managed using the following strategies—

Maintaining stakeholder register: The stakeholder register indicates any changes in the existing stakeholders. For instance it includes the new stakeholders and excludes the stakeholders who are not involved. In this case, the stakeholder register would be updated if any change occurs in the organisation and management, project sponsor and project owner. The stakeholder would also be updated if the organisation identifies a new group of customers who can be impacted due to launch of the app.

Analysing power and interest of the stakeholders:

The power interest grid is an effective tool to analyse influence of the stakeholders on the project. Based on the power and interest of a stakeholder, the management strategies are determined.

Communication Plan

The communication plan important to ensure information flow among the project stakeholders. The communication plan involves selection of the communication technology and deciding the communication method.

The choice of communication technology depends on the cost, ease of use and availability. The communication method is selected based on the nature of audience and purpose of the communication. In this project, the communication will be done with two stakeholder groups, the management and the customers. Separate communication methods are used for both type of stakeholders.

 

Communication Plan

In this project the video conferencing technology and email are used as communication technology. Both that Technologies are easily available and easy to use. These technologies are highly cost-effective. Using those for communication purpose in the project is beneficial.

Meeting was used as communication technique with the internal stakeholders such as the management and the project owner and sponsor. Meeting is an interactive communication technique. In a meeting, all the involved parties can share their views and opinion (Rumeser & Emsley, 2018). The project is being undertaken to improve performance of the organisation in market. So sharing opinion with the organisation management is crucial for developing project strategy successfully. Therefore meeting is the most suitable communication method for the internal stakeholders.

The external stakeholders or the customers were communicated using the advertisement. The advertisement is a push communication method which involves sending messages to the audience. In this case, the advertisement sent the message of app launch to the potential users.

 

 

Project Monitoring and Controls

The monitoring and control in a project is necessary to ensure that the project will be completed within time, and resources while maintaining the quality criteria.

The monitoring is done by the project manager. The project manager tracks the progress regularly and identifies any deviation from the expected outcomes. Early detection of the issues is effective to address those.

Control in the project involves the following elements—

  1. Project Scope Control: The scope control is done using requirement traceability matrix. The requirement traceability matrix ensures that the scope requirements are fulfilled (Spalek, 2016). The matrix also identifies the issues encountered to meet the project requirement. In this case, the requirement is making a faster and convenient app. The app will be tested multiple time to ensure fulfillment of the requirement.
  2. Cost Control: The cost control is done using budgets. The budget is an effective technique to get a cost estimation (Matos et al., 2019). The budget is reviewed regularly to identify any deviation.

3.Quality Control: The cause and effect and the checksheet are used for quality control. The cause and effect diagram reveals the cause behind quality defects in advance. The checksheet captures data on real-time and the quality issues are identified.
